Techwards (“we,” “us,” or “our”) operates the RUSHD platform (“Platform”), a white-label coaching platform accessible at rushd.coach and through custom-branded domains operated by independent coaching practices. This Privacy Policy explains how we collect, use, disclose, and protect your personal information.
By using the Platform, you consent to the practices described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide
- Account Information: Name, email address, and password when you create an account.
- Profile Information: Display name, city, and any additional details you choose to provide.
- Coach Profile Information (coaches only): Phone number, biography, credential level, certifying body, coaching hours, years of experience, specialties, spoken languages, coaching modalities, timezone, and verification status.
- Payment Information: When you subscribe to a paid plan or purchase credits, payment is processed by Stripe, Inc. We store your Stripe customer ID and subscription ID but never store your credit card number, CVV, or full card details on our servers.
- Support Messages: Content of messages you send through the in-app support feature.
- Session Notes & Attachments: Notes and file attachments (PDF, DOC, DOCX, TXT) created by coaches for post-session records.
1.2 Information Collected Automatically
- Usage Data: Pages visited, features used, and interaction patterns collected via PostHog (backend) and Mixpanel (frontend, where enabled by the coaching practice).
- Log Data: IP address, browser type, operating system, request IDs, timestamps, and referring URLs.
- Cookies: We use the following cookies:

1.3 Information from Third-Party Integrations
- Google Calendar (coaches only): When a coach connects their Google Calendar, we access free/busy information and create calendar events for confirmed bookings. We store encrypted OAuth tokens. We do not access, read, or store the content of personal calendar events.
- Calendly (coaches only): When enabled, we access scheduling data through Calendly’s API. OAuth tokens are stored encrypted.
1.4 Session Recordings and Transcripts
- Video/Audio Recordings: 1:1 coaching sessions conducted through the Platform may be recorded with participant consent. Recordings are stored securely in Amazon Web Services (AWS) S3.
- Transcripts: Live transcription is powered by AWS Transcribe. Transcripts are stored per session and associated with the coaching session record.
- AI Chat History: Conversations with the AI coaching bot are stored per user, per session.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Platform.
- Process payments and manage subscriptions through Stripe.
- Enable 1:1 coaching sessions, including video calls, recordings, and transcriptions.
- Provide AI-powered coaching assistance through per-practice knowledge bases.
- Synchronize coach availability and bookings with Google Calendar or Calendly.
- Send transactional emails (booking confirmations, invitations, password resets, .ics calendar files).
- Generate analytics and dashboards for coaches about their practice (session counts, client engagement).
- Enforce subscription entitlements and metering (AI message limits, course enrollment limits).
- Improve the Platform, diagnose technical issues, and prevent fraud.
3. How We Share Your Information
We do not sell your personal information. We share data only as follows:
3.1 With Your Coaching Practice
When you join a coaching practice on RUSHD, the coach (and their authorized assistants) can see your name, email, profile, session history, AI bot usage, billing status, and subscription details within that practice.
3.2 With Service Providers
We use the following third-party services to operate the Platform:

3.3 As Required by Law
We may disclose your information to comply with legal obligations, enforce our Terms of Service, or protect the rights, property, or safety of Techwards, our users, or others.
4. Data Storage and Security
- Location: All data is hosted on Amazon Web Services in the US East (N. Virginia) region.
- Tenant Isolation: Each coaching practice’s data is isolated in a separate database schema. Client data from one practice is not accessible to another practice.
- Encryption: OAuth tokens for third-party integrations are encrypted at rest using Fernet symmetric encryption. Payment credentials are stored in AWS Systems Manager Parameter Store as SecureString values.
- Authentication: Passwords are hashed. Authentication uses JSON Web Tokens (JWT) transmitted via HttpOnly, secure cookies — never stored in browser localStorage.
- File Storage: Uploaded files are stored in AWS S3. Session note attachments are stored under a private prefix and served via time-limited presigned URLs.
5. Data Retention
- Account Data: Retained for as long as your account is active. You may request deletion by contacting us.
- Session Recordings & Transcripts: Retained for as long as the coaching practice maintains them. Coaches may delete session records.
- AI Chat History: Retained for as long as your account is active within the coaching practice.
- Payment Records: Retained as required for financial reporting and legal compliance.
- Analytics Data: Retained in accordance with PostHog and Mixpanel’s respective retention policies.
6. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Delete your personal data, subject to legal and contractual obligations.
- Withdraw Consent for optional data processing (e.g., disconnect Google Calendar).
- Data Portability — request a copy of your data in a structured format.
- Object to processing of your data for analytics purposes.

7. Children’s Privacy
The Platform is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 16, we will take steps to delete it promptly.
8. International Data Transfers
Your data is stored and processed in the United States (AWS US East region). By using the Platform, you consent to the transfer of your data to the United States. We take appropriate measures to protect your data in accordance with this Privacy Policy regardless of where it is processed.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the “Last Updated” date. Your continued use of the Platform after changes constitutes acceptance of the revised policy.
10. Google API Services — Limited Use Disclosure
RUSHD’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- Google Calendar data (free/busy status and created booking events) is used solely to display coach availability and create calendar events for confirmed coaching session bookings.
- No Google user data — whether raw, aggregated, anonymized, or derived — is transferred to, processed by, or used to train any artificial intelligence or machine learning model.
- Google Calendar integration and the Platform’s AI coaching bot are completely separate systems with no data path between them. The AI bot operates exclusively on content manually uploaded by coaches and has no access to any Google API data.
